ingeniix ("we", "us", "our") provides project, task, roster, asset, stock control, and operational planning tools for teams. This Privacy Policy explains what information we collect, how we use it, and the choices available to you.
2. Information We Collect
Information you provide
- Account information such as your name, email address, password hash, email verification status, and security settings.
- Organization and project membership details, including roles, permissions, invitations, staff names, and access history.
- Workspace content you or your team create, including projects, GSMEAC planning notes, tasks, to-dos, subtasks, recurring task rules, comments, completion notes, roster and planning entries, uploads, assets, stocktake items, quantities, minimum levels, and reports.
- Contact, support, and feedback messages submitted through the website or by email.
Information collected automatically
- IP address, browser type, device information, approximate timestamps, pages visited, and features used.
- Session identifiers, login and security events, audit logs, notification records, and consent records.
- Risk and verification signals processed through Google reCAPTCHA on protected forms.
3. How We Use Your Information
- To provide the Service, authenticate users, manage sessions, and enforce role-based access.
- To keep project, task, roster, asset, stocktake, and reporting workflows available to the correct team members.
- To send transactional emails and notifications, including email verification, password reset, organization invites, task reports, stocktake alerts, asset alerts, and account/security messages.
- To respond to contact form submissions, support requests, and operational issues.
- To protect the Service from spam, abuse, unauthorized access, and other security risks.
- To improve the Service and understand usage where permitted by your cookie and consent choices.
- To display advertising on public marketing pages where permitted by your consent choices and applicable law.
4. Team and Organization Visibility
ingeniix is built for collaboration. Content added inside an organization or project may be visible to other members of that organization or project depending on their role. Organization owners, admins, and managers may be able to view, edit, export, or remove certain team records as part of normal workspace administration.
5. Cookies, Local Storage, and reCAPTCHA
We use cookies and browser storage as described in our Cookie Policy. Essential storage is required for login, security, consent, and basic product functionality. Some preferences, such as dashboard task filters, may be remembered locally in your browser until you change or clear them. If you use offline-capable task features, limited task completion details may be stored temporarily on your device so they can sync when connection returns.
Protected forms may use Google reCAPTCHA to help detect spam and abuse. Google may process browser, device, and interaction information for that purpose, and Google's Privacy Policy and Terms of Service apply.
6. Data Sharing
We do not sell your personal information. We may share limited information with:
- Service providers that help operate the platform, such as hosting, storage, email delivery, security, analytics, and advertising providers.
- Google services used on the site, including reCAPTCHA, Google Fonts, and advertising services on public pages.
- Organization owners, admins, managers, and team members where the information belongs to a shared workspace and their permissions allow access.
- Law enforcement, regulators, or other parties where required by law or necessary to protect rights, safety, and security.
7. Data Security
We use reasonable technical and organizational safeguards to protect the Service, including password hashing, CSRF protection, input validation, role-based access control, session management, audit logging, and HTTPS on production deployments. No internet service can be guaranteed to be completely secure, so you should keep your login details private and avoid adding sensitive information that is not needed for your work.
8. Data Retention
We retain account, project, organization, task, asset, stocktake, roster, notification, and audit records for as long as needed to provide the Service, meet legal or security obligations, resolve disputes, and maintain operational history for teams. If your account is deleted, we will remove or anonymize personal account information where reasonably possible, but shared organization records, backups, audit logs, and records required by law may be retained for longer.
9. Your Choices and Rights
Depending on your location, you may have rights to access, correct, export, restrict, or request deletion of your personal information. You can also manage non-essential cookie choices, update account details, and control notification preferences where those options are available in the Service.
10. Children's Privacy
The Service is not intended for children under 16 years of age. We do not knowingly collect personal information from children.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will update the date on this page and, where changes are material, provide reasonable notice by email, in-app message, or another appropriate method.
